Position Summary

Part-time Project Assistant: The project assistant will support the Project Director.

Responsibilities include scheduling meetings, taking minutes, and coordinating meetings for team members and the Advisory Board. Maintaining an updated contact list of NEH Discussion Program applicants, ordering books and supplies, and preparing digital readings for workshops and discussion groups. The project assistant assists with program outreach and recruitment to veteran and community groups, and will help create publicity materials (e.g., a program webpage, LinkedIn posts, and event board notices), send targeted emails, and handle U.S. mailings as needed. They will also assist Discussion Leaders with Zoom technology during meetings on Thursday evenings and Saturday afternoons and help prepare assessment materials for program evaluation.

Temporary/Part-time Position

The Project Assistant will work an average of 15 hours a week for 35 weeks at a rate of $18/hour for the duration of the project period. Project period ends July 31, 2026.

Work schedule is non-standard – weekdays, weekends, and evenings - to accommodate programmatic events. Must be able to attend virtual meetings on Thursday evening and Saturday afternoon during Discussion programs (January to June 2026). Must have reliable transportation and computer technology.

Essential Functions:

  • Assist in the planning and execution of projects
  • Perform administrative tasks such as scheduling meetings, handling correspondence, and managing project documentation
  • Conduct research to support the project team
  • Prepare project-related reports and presentations
  • Monitor project progress and communicate updates to stakeholders
  • Maintain a comprehensive and accurate project file
  • Coordinate with project team members to ensure tasks are completed on schedule
  • Provide suggestions for process and productivity improvements
  • Demonstrated excellent interpersonal skills and the ability to work with a wide variety of people and situations including students, faculty, staff, and community members from diverse racial, cultural, ethnic and socioeconomic backgrounds.
  • Ability to run Zoom meetings and trouble shoot user problems
  • Use Adobe Creative Suite for creative visual and audio recordings
  • Must have experience with veterans groups and organizations
  • Ability to communicate clearly and effectively in person, in writing and by telephone. Demonstrated excellent command of and proficient use of correct spelling, grammar and punctuation.
  • Experience coordinating special events such as workshops, training seminars, discussion groups. Experience making logistical arrangements. in support of such events.

Requirements:

Education & Experience:

  • Bachelor's Degree required in Social Science, Humanities, Communications, Marketing, or related field.
  • 2+ years experience in similar paid employment, volunteer work, or student related project work.
  • Knowledge of University forms, rules and procedures. General knowledge of campus organizations and locations preferred
  • Work experience in a university or college environment preferred

Competencies/Technical/Functional Skills:

  • Experience as a Project Assistant or similar role
  • Skilled at organizing and prioritizing work to meet deadlines
  • Proficient in MS Office, Adobe Creative Suite, and Google Suite
  • Excellent written and verbal communication skills
  • Ability to work effectively within a team and independently
  • High level of accuracy and attention to detail
  • Skilled in developing, implementing, and maintaining data record keeping - manual and computerized. Skill in maintaining systems alphabetically, chronologically and/or by subject matter.
  • Ability to exercise good judgment and initiative.
  • Excellent attendance record.

Travel: Remote

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate’s qualifications, skills, and competencies. Absent exceptional circumstances, candidates will be offered a salary within this range for this position. The minimum salary will be offered based on the minimum exemption threshold based on state of residency.
