Job Description

The Operations Support Specialist provides critical administrative and technical support to the Executive Director and Operations Manager. This role is responsible for maintaining and managing key school operations, including student data uploads, record processing, compliance reporting, and attendance monitoring. The ideal candidate is highly organized, proficient in Excel, and possesses strong technical skills.

Residency Requirements: Must reside in Oregon

  • Preferred Residency in Prineville, OR for handling physical student records.

This is a full-time position. Ability to work independently, typically 40+ hours per week is required. Ability to maintain a professional home office without distraction during workday, typically 8am-5pm PST, with occasional travel to the office in Prineville, OR.

Student Information & Data Management

  • Perform Synergy uploads, ensuring accurate and timely student data entry.
  • Manage student records requests (Digital Scrib Requests), processing outgoing records in collaboration with other staff.
  • Maintain student immunization records in compliance with state requirements.
  • Support monthly district reporting, gathering, verifying, and submitting required data.

Attendance & Compliance

  • Managing attendance and truancy, tracking student attendance and ensuring compliance with state reporting guidelines.
  • Work closely with the Executive Director to support ADM collection efforts.
  • Partner with school staff to identify and address attendance-related concerns.

Operational & Administrative Support

  • Collaborate with the Operations team to improve workflows and ensure data accuracy.
  • Provide technical support related to student information systems, reporting tools, and compliance tracking.
  • Overseeing the transition between different educational software systems, ensuring data integrity and smooth operation.
  • Providing training to staff and faculty on new systems and processes, and offering ongoing support.
  • Identifying and implementing improvements to current processes to enhance efficiency and effectiveness.
  • Understanding and troubleshooting technical issues related to the SIS.
  • Working closely with various departments to ensure the new system meets their needs and integrates well with other tools and
  • Support special projects, reporting needs, and other administrative functions as assigned.

Other duties as assigned.

Supervisory Responsibilities: This position has no formal supervisory responsibilities.

Minimum Required Qualifications:

  • Bachelor’s degree AND
  • Three (3) years of professional experience OR
  • Equivalent combination of education and experience

Certificates and Licenses: None required.

Other Required Qualifications:

  • Strong technical and data management skills, particularly in Excel and student information systems.
  • Highly organized, detail-oriented, and able to manage multiple priorities effectively.
  • Excellent communication skills and ability to work collaboratively with internal teams.
  • Ability to adapt to new systems and processes, with experience in Synergy or PowerSchool preferred.
  • Proficiency in MS Excel, MSWord, and Outlook
  • Ability to pass required background check
