Seeking a detail-oriented and proactive Assistant Testing Coordinator to join our team. The ideal candidate will play a critical role in supporting our testing operations by managing vendor contracts, overseeing billing and budget tracking, collaborating with administrators on scheduling needs, and performing various office duties as assigned. This position requires excellent communication, organizational, and problem-solving skills to ensure the smooth execution of testing-related activities.
Key Responsibilities:
Vendor Contract Management:
Negotiate contracts with test site vendors, ensuring compliance state testing requirements and budget guidelines.
Maintain a database of vendor agreements and update terms as necessary.
Billing Oversight:
Manage invoices from test site vendors, monitoring timely and accurate payments.
Track expenses and monitor budget allocations related to testing operations.
Prepare financial reports and assist with budget planning.
Scheduling Coordination:
Work closely with administrators to assess scheduling needs for testing activities.
Coordinate and communicate schedules with all relevant stakeholders, ensuring efficiency and minimal disruptions.
General Administrative Support:
Perform routine office tasks, such as filing, data entry, and correspondence.
Assist with planning and preparation for testing events, including securing locations and materials.
Handle inquiries related to testing operations and provide support to team members as needed.
Qualifications:
Experience in administrative coordination.
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with budget-tracking.
Exceptional organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Prior experience in a testing or education-related field is a plus.
