This position is open to candidates who currently reside in one of the following approved states from which the role may be performed remotely: Alabama, Arizona, Georgia, Idaho, Indiana, Minnesota, Nevada, New Hampshire, North Carolina, Pennsylvania, South Carolina, Tennessee, Texas, Virginia, Wisconsin.

Employees must be available for collaboration during core hours from 10am to 3pm (PST).

ABOUT THE ROLE

Under general direction from the Admissions Supervisor is responsible for the processing of applications in administrative computing system. The Admission Representative is responsible for successfully guiding the applicant through the admissions process and for representing UMass Global in a positive and professional manner. Key qualifications include the following: prior higher education work experience, experience with administrative computing, and data entry/document management experience.

TYPE OF SUPERVISION RECEIVED:

  • General direction from the Assistant Director of Admission and Evaluation

POSITION DUTIES AND RESPONSIBILITIES:

Essential functions: 100% of time

  • Process applications in administrative computing system
  • Prepare files for evaluation/decision. Link scanned documents in document imaging system. Create and update files. Track received documents in computing system, enter transfer coursework. Input communication codes, status codes, and trigger correspondence
  • Provide support and assistance to both applicants and University staff
  • Assist applicants and campus staff with troubleshooting issues as related to policies and procedures
  • Assist in the development of training materials
  • Assist with the training of University staff
  • Run audit reports on application data and follow up with University staff
  • Assist with quality control reporting and data integrity
  • Responsible for maintaining regular contact with staff, particularly the Enrollment Coaches, via regular scheduled conference calls, on-line meetings, and data report follow-up
  • Act as liaison between University staff and Admissions Supervisor
  • Assist in the updating and review of applications and forms
  • Assist with testing new procedures and processes
  • Other duties as assigned to support the Central Admission Office

Non-Essential Functions of the Job:

  • May require work hours outside of standard business hours.

POSITION SPECIFICATIONS AND REQUIREMENTS:

Special Conditions of Employment: Position may be required to work flexible hours particularly given campuses’ extended hours of operation and may require occasional weekend and/or evening work. All applicants are subject to a background check and criminal history review. Working conditions are normal for an office environment.

Previous Experience:

  • Prefer experience working in an Admission or Registrar office in a Higher Education Institution or equivalent work experience

Desired Qualifications:

  • Ability to perform accurate and efficient entry of data into administrative software
  • Adequate typing skills to complete data entry requests in a timely manner
  • Ability to prioritize duties when faced with interruptions, distractions and fluctuating workload and completing them in a timely manner
  • Communication and interpersonal skills, with the ability to interact with diverse individuals and groups at all organizational levels, both inside and outside of the university
  • Ability to organize and handle large quantity of work with accuracy and efficiency
  • Ability to use tact and diplomacy and maintain a high level of confidentiality
  • Knowledge of basic arithmetic computations
  • Strong commitment to teamwork and customer service

Knowledge and Education:

  • Experience working in an Admission or Registrar office in a Higher Education Institution or equivalent work experience
  • Knowledge and experience with administrative computing and document imaging systems, preferably Banner, ImageNow, Intelligent Capture, TargetX, and Salesforce
  • Knowledge of Admission policies and procedures
  • Knowledge of UMass Global University policies and procedures

Machines, Tools, Equipment, Electronic Devices and Software:

  • Banner, Salesforce, TargetX, Argos, Perceptive Content, SoftDocs, Raptor, Axiom, Microsoft Suite, ShoreTel, Zoom, and other enrollment management software incorporated in the future to support the department.

The hiring range for this position is $16.00 - $18.20 per hour. Offers are determined by a variety of factors, including but not limited to: geographical location, knowledge, skills, years & depth of experience, and equity with internal team members.
