This position is open to candidates who currently reside in one of the following approved states from which the role may be performed remotely: Alabama, Arizona, Georgia, Idaho, Indiana, Minnesota, Nevada, New Hampshire, North Carolina, Pennsylvania, South Carolina, Tennessee, Texas, Virginia, Wisconsin.

Employees must be available for collaboration during core hours from 10am to 3pm (PST).

ABOUT THE ROLE

​​The Project Manager for Curriculum & Catalog Systems provides project-based support to the Office of Institutional Curriculum & Assessment (OICA) during the implementation and integration of UMass Global’s new curriculum management system. This role involves working with curriculum management platforms, curriculum development processes, student information systems, and catalog workflow processes. This role is temporary, part-time and will last 6-8 months at 20 hours per week.

TYPE OF SUPERVISION:

Receive ​direction​ from the ​Associate Vice Chancellor, Institutional Curriculum, Assessment & Academic Policy​.

  • Direction – indicates that the incumbent attains specific goals and objectives in a broad area of work. Only the final results of work done are typically reviewed. Incumbent typically develops procedures within the limits of established policy guidelines.​

POSITION DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

Project Coordination & Workflow Management

  • Support the planning, scheduling, and coordination of activities related to curriculum and catalog system integration.
  • Maintain timeline tracking tools and project dashboards to ensure timely progress across workstreams.
  • Assist in mapping new curriculum approval workflows, including routing, governance, and catalog impact pathways due to new curriculum system.

System Integration Support

  • Compile, validate, and organize system configuration data for CourseLeaf build cycles.
  • Partner with IT, Registrar, and OICA teams to support testing cycles, track defects, and gather feedback from faculty and staff users.
  • Coordinate data validation activities related to Banner integration, catalog publication cycles, and CIM-CAT transitions.

Documentation & Communication

  • Prepare project documentation including workflow maps, training materials, process guides, decision logs, and status updates.
  • Draft communications for stakeholders regarding timelines, expectations, testing windows, and procedural changes.
  • Document system changes, configuration decisions, and catalog-related requirements.

Cross-Functional Collaboration

  • Partner with the Curriculum Coordinator and the Director of Academic Policies & Curriculum to facilitate meetings with academic schools, governance committees, and administrative units.
  • Coordinate with functional leads to ensure alignment between curriculum processes, academic policies, and system integration needs.
  • Assist with the organization and delivery of staff/faculty training sessions prior to system launch.

Quality Assurance & Continuous Improvement

  • Support the review of current-state curriculum submission processes and identify opportunities for process optimization aligned with CourseLeaf best practices.
  • Assist in developing documentation to support continuous improvement, including standard operating procedures (SOPs) and updated policy references.
  • Perform other duties, as assigned

POSITION SPECIFICATIONS AND REQUIREMENTS:

EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:

  • Bachelor’s degree or equivalent experience in project management
  • ​Minimum 2–3 years professional experience in higher education, with direct experience in curriculum management, academic catalog production, or academic governance workflows
  • ​Hands-on experience with CourseLeaf (CIM and/or CAT), Banner, or comparable curriculum/catalog systems

Preferred Qualifications

  • ​Bachelor’s degree in education administration, Business, Information Systems, or related field
  • ​Experience supporting enterprise system implementations or workflow redesign projects
  • ​Familiarity with accreditation, catalog compliance, and academic policy documentation
  • ​Certification or training in project management (e.g., CAPM, PMP, Prosci, or equivalent)
  • ​Experience working in remote environments with cross-functional teams​

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:

  • ​​Understand curriculum systems, SIS integrations, catalog standards, and configuration workflows
  • ​Proficiency with project management tools (e.g., Monday.com, Smartsheet, Jira, or similar)
  • ​Strong project coordination skills to effectively organize tasks, tracks project milestones, and manages timelines
  • ​Excellent organizational skills and attention to detail with the ability to manage multiple concurrent tasks
  • ​Strong written and verbal communication skills suitable for cross-functional academic and administrative environments
  • ​Ability to work effectively across academic and administrative units, navigating different needs and perspectives
  • ​Ability to make informed decisions and know when to escalate issues for leadership review
  • ​Ability to identify gaps, inconsistencies, and workflow inefficiencies with attention to detail​

Machines, Tools, Equipment, Electronic Devices and Software: ​​​Personal computer and advanced knowledge of Microsoft Office Suite, including word, excel, teams and outlook​​. Familiarity with video conferencing platforms (such as Zoom), curriculum management platforms (CourseLeaf), student information systems (Banner), and project management tools. ​

The hiring range for this position is $34.00 - $40.00 per hour. Offers are determined by a variety of factors, including but not limited to geographical location, knowledge, skills, years & depth of experience, and equity with internal team members.
