Responsible for the technical and specialized functions as defined by the California Commission on Teacher Credentialing (CTC) and UMass Global University to support and audit the qualifications for admission, preparation and completion of fieldwork, credential recommendations and employment authorizations for teacher and service credential candidates.TYPE OF SUPERVISION:
Receive general supervision from the Director of Credential Services.
General Supervision — indicates that the incumbent performs a variety of duties; some of which may be complex duties within established policy guidelines; and receives occasional supervision.
POSITION DUTIES AND RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
General
Evaluate, process and update student degree audits as program requirements are met
Provide clear and detailed guidance to students, faculty, and staff regarding credentialing requirements, timelines, and procedures
Coordinate with the Advising Office to support students facing complex credentialing challenges or unique circumstances
Contribute to the development and refinement of credentialing processes, policies, and workflows to improve efficiency and student satisfaction
Link licensure documents to student files
Serve as the primary point of contact for UMass Global staff in determining the appropriate credential and/or degree programs for current students
Collaborate and communicate regularly with staff and faculty regarding student progress in meeting program and credential requirements
Respond to student questions regarding licensure requirements
Process, review, and recommend students to the Commission on Teaching Credentialing (CTC) for all student teaching, licensure, credential, authorizations and state certificates. Including, but not limited to, out-of-state verifications and student qualifications for supplementary authorizations.
Serve as the liaison to County Offices, School Districts, and other entities in the school system in regards to licensure requirements
Assist the Director of Credential Services and the Assistant Director of Credentials and Clinical Practice with gathering data for state and federal reports
Attend CTC workshops for credential analysts and conferences as directed by the Director, Credential Services.
Prospective Students
Serve as the primary point of contact for UMass Global staff in determining the appropriate credential and/or degree programs for prospective students
Collaborate with the Enrollment Coaching Center to address questions regarding appropriate programs for prospective candidates
Student Teaching/Fieldwork
Process student teaching applications and evaluate student teaching eligibility
Process intern eligibility applications
Monitor and track student progress towards meeting the clearance requirements for student teaching
Collaborate and communicate with the Director of Clinical Services and Clinical Coordinators on the application and clearance process for student teachers
Serve as a liaison for the campuses and students in regards to County Offices, School Districts, and other entities in the school system in regards to Memo of Understanding, student teaching requirements, and employment offers
Maintain a database of district agreements and track the approval process
Work with the Assessment Manager with deploying student teacher, master teacher and university supervisor surveys
Assist the Director of Clinical Services in developing and implementing web based trainings for Clinical Coordinators, students, mentor teachers and university supervisors
Credential Recommendations
Monitor student completion of non-coursework requirements
Process out-of-state verifications
Adjust DegreeWorks audits
Prepare credential recommendations for CTC
Serve as a liaison to CTC regarding credential recommendations
Perform other duties, as assigned
POSITION SPECIFICATIONS AND REQUIREMENTS:
EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:
Bachelor’s degree or equivalent combination of education and work experience
Prior training as a recommending agent by the CTC is preferred
Experience with student teaching placement, accreditation and credential processes is preferred
High level of team experience and customer service
ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to use technology to improve efficiency and processing overall work flow
Knowledge of P-12 system and organization in regards to MOU and Human Resources processing
Knowledge of CTC and Accreditation policies in regards to licensure and student teachin
Proven ability to handle sensitive information and maintain confidentiality
Knowledge of credentials and accreditation policies
Able to work in a complex process system of auditing, evaluating and analyzing information environment
Exceptional written and verbal communication skills with the ability to draft professional correspondence and accurately interpret and convey credentialing requirements, timelines, and processes
Strong attention to detail, with the ability to verify records and ensure compliance with regulatory standards
Excellent organizational skills, including effective planning and time management to meet deadlines
Demonstrated ability to foster and maintain cooperative working relationships
Machines, Tools, Equipment, Electronic Devices and Software: Personal computer and intermediate knowledge of Microsoft Office Suite, including word, excel, and outlook.
